Speaker Guidelines & Requirements

Five phases from invitation to conference day. Complete each on time to keep your place in the program.

Phase 1 · Before you accept

Confirm You Can Attend

  • Confirm availability to present in person Feb 26–28, 2027.
  • Confirm you can obtain the required passport, visa, or entry authorization.
  • Secure travel approval and time away from your employer.
  • Coordinate with all approved co-presenters and begin planning logistics.
Phase 2 · By Oct 31 → Nov 30, 2026

Register & Confirm

  • By Oct 31: complete Early Presenter Registration for the lowest rate.
  • By Nov 30: review & submit the SENIA Speaker Agreement.
  • By Nov 30: register with your approved presenter ticket.
  • By Nov 30: submit a 1-minute introduction video about your session.

Phase 3 · Throughout December 2026

Onboarding & Promotion

  • Complete official speaker onboarding using your onboarding package.
  • Submit tech/AV needs, confirm your schedule, and set up your platform profile.
  • Promote your session using the SENIA-provided social media badge (not the Whova version).
Phase 4 · By Jan 15, 2027

Final Session Materials

  • Link slides, handouts, worksheets, resource lists, and a final PDF into your session description.
  • First-time SENIA presenters submit a PDF of their presentation for review.
  • All materials must be complete, accurate, accessible, and ready for attendee use.

Phase 5 · Feb 26–28, 2027

Attend & Present

  • Complete your final session check before traveling — bio, materials, tech, and room assignment.
  • Check in as a presenter and wear your presenter badge throughout.
  • Arrive early to test materials, and follow the published schedule.

📝 Registration Requirements

Presenter tickets are restricted to approved speakers. Each presenter and co-presenter must register separately using their own approved email address.

Register With Your Original Email

Use the same email address included with your original proposal — it confirms your eligibility and unlocks the correct presenter ticket. Contact the conference team before registering if your email has changed.

Max two discounted presenters per workshop; combined maximum $100. Cannot be combined with member, group, sponsor, or promotional discounts.

🎤 Presentation guidelines

Align with your approved proposal. Your presentation must stay consistent with the approved title, description, objectives, format, and content. Significant changes require conference-team approval.

Prepare for your session: follow the schedule, stay within the approved length, include clear learning objectives and practical takeaways, build in engagement, avoid selling, and have materials displayed as attendees enter.

Create accessible materials: readable fonts and sizes, strong contrast, captions/transcripts for video, alt text for meaningful images, uncrowded slides, clear headings, and digital handouts where possible.

🤝 Speaker responsibilities

By accepting the Speaker Agreement, presenters commit to attend and present in person, register by the due date, submit all requested information on time, monitor and respond to conference communications, and participate in required onboarding.

Presenters also follow accessibility, technology, content, and professional-conduct guidelines; notify SENIA immediately of anything affecting participation; coordinate with all co-presenters; deliver the session at the assigned time; and obtain permission for any copyrighted content. Once the program is published, time-change requests may not be accommodated.

🌏 Travel, visa & participation

Visa & entry. Presenters confirm Indonesia's entry requirements and obtain all required documentation. SENIA may provide a general participation letter when appropriate but cannot guarantee visa approval. Visa page →

Travel & accommodation. Unless included in a written speaker contract, SENIA does not cover flights, accommodation, visa fees, ground transportation, meals outside the program, travel insurance, or personal expenses. Partner hotels →

Technology & equipment. Bring your own chargers, presentation remotes, dongles, and connector cables, plus an offline backup of your presentation. A speaker technology survey may be distributed beforehand.

📅 Conference day requirements

Check in as a presenter and collect your presenter badge, worn throughout the conference.

Arrive early for your session to meet the room host, confirm setup, open and test your presentation, check audio/video, arrange materials, and welcome attendees.

Follow the published schedule. Sessions begin and end at published times; manage your content, activities, discussion, and questions within the assigned period.

Unless otherwise stated in a separate written agreement, presenters are responsible for their own travel, accommodation, visa, transportation, registration, and related expenses. SENIA cannot refund registration fees if a presenter is later unable to attend due to visa denial, travel disruption, employer restrictions, or denied time off.
